How to Order Flowers From Another Country: A Step-by-Step Guide for First-Timers

How to Order Flowers From Another Country: A Step-by-Step Guide for First-Timers

Yes, you can order flowers for someone in another country without being there yourself. The process is simple: choose the destination country and city, select the flowers, provide the recipient's details, pick a delivery date, add a personal message and pay online. The bouquet does not fly to the recipient from your country — a florist in the city where the person is right now makes it, and a local courier brings it to the address, hotel, restaurant or yacht. Below is exactly what to do at each step, which details to prepare and what to do when you don't know the exact address or phone number. If you are more interested in how the system itself works, that is covered in how international flower delivery works; this article is practice only.

How to Order Flowers From Another Country, Step by Step

Step 1. Choose the recipient's country and city. Go by where the person is now, not where they live. You are in London and your partner is in Barcelona for a week — the delivery city is Barcelona. Open the city page: Barcelona, Dubai, Mykonos, Phuket — each has its own catalog and currency.

Step 2. Choose the occasion. Birthday, anniversary, proposal, romantic surprise, congratulations, wedding or "just because". The occasion sets the format: large roses for a proposal, a compact bouquet for a restaurant, a boxed arrangement that needs no vase for a hotel room.

Step 3. Choose the bouquet. Roses are the clearest romantic gift. A mixed bouquet is universal when you are unsure of tastes. A seasonal arrangement is for local freshness: ranunculus and anemones in Spain in spring, orchids in Thailand all year round. A premium arrangement suits an anniversary or a proposal. If you need a specific flower — peonies in November or white lilac in August — ask first: availability depends on the city and the season.

Step 4. Enter the recipient's details. Name, phone, address — or instead of an address the name of the hotel, villa, restaurant or marina. The more precise, the fewer questions on delivery day. The full checklist is in the next section.

Step 5. Choose the delivery date. Same-day delivery is possible in many cities for orders placed before midday, but not everywhere and not always — it depends on the city, the bouquet and the florist's workload. Scheduled delivery on a set date is more reliable, especially for a hotel check-in or a dinner.

Step 6. Add a card message. Short works best. For example: "Happy anniversary. I wish I were there — these roses are standing in for me. Yours, M."; "Happy birthday from 2,000 km away. See you Friday"; "Just because you are in Seville and I am thinking of you". The card is handwritten or printed — in a language the recipient understands.

Step 7. Pay online. You don't need to be physically present in the destination country: payment goes through a link — any bank card, Apple/Google Pay, crypto or a transfer. After payment you receive a confirmation with the date, address and order contents.

What Information You Need

Put everything in one message — the order is then confirmed in minutes rather than after several rounds of questions:

  • recipient's first and last name — in Latin letters, as in the booking or on the door buzzer;
  • recipient's phone number (with country code, e.g. +44 or +7);
  • city;
  • delivery address — street, building, floor, flat;
  • name of the hotel, villa, restaurant or marina if the delivery is not to a home;
  • room number — if known (usually not needed);
  • delivery date;
  • preferred time window — where one can be chosen;
  • card message and signature (or "no signature");
  • special instructions: "surprise, don't call ahead", "leave with the concierge", "bring to the table at 20:30".

What if you don't know the exact address

A normal situation when the person is travelling. The answer depends on where they are staying:

  • Hotel: the hotel name and the guest's name as in the booking are enough. Reception accepts the bouquet for the guest — we know the hotel's address ourselves.
  • Villa or rented apartment: an exact address is needed — villas often have no sign, and at gated communities security asks who you are visiting. Ask the recipient or the owner for the address and the name registered with security.
  • Restaurant: the restaurant's name, the name the reservation is under, the date and time of the booking.
  • Yacht: the marina, the yacht's name, the berth (if known) and a contact for the captain, broker or stewardess.

Can I Order Flowers for Someone Staying at a Hotel?

Yes — and it is the most common international scenario: you don't need to know where the person lives; while they travel, the hotel is the address. What to give:

  • guest name — exactly as in the booking; reception checks it against the guest list;
  • hotel name — in full; cities like Dubai or Barcelona have many similarly named hotels from different chains;
  • room number — only if you know it; hotels don't disclose it, the bouquet is handed over by name;
  • check-in date — if you want the flowers waiting in the room on arrival;
  • timing — at breakfast, on return from a tour, before dinner.

The courier hands the bouquet to reception or the concierge, and hotel staff carry it to the room. In most hotels this is routine, but no partnership arrangements are required or exist — so for small boutique hotels with one person on the desk, daytime delivery is the safer choice. How it works in specific cities: hotel flower delivery in Barcelona, Dubai hotels, Seville hotels, Lisbon hotels and Airbnb, Phuket hotels.

Can I Order Flowers for Someone in a Villa or Holiday Rental?

Yes, but a villa works differently from a hotel: there is no desk and nobody to accept a bouquet "by name". So:

  • exact address — with the name of the urbanisation or complex if there is one;
  • gated property — in Ibiza, Marbella, Phuket and Dubai villas often sit behind a barrier: warn security or give the name they have on file;
  • property manager — if the recipient must not know about the surprise, the bouquet can go to the manager or the complex concierge;
  • access instructions — gate code, "second villa to the left of the pool";
  • guest's phone — without it a villa delivery becomes a lottery.

Especially relevant for Ibiza, Mallorca, Mykonos, Santorini, Marbella, Phuket, Bali and Dubai, where a large share of visitors stay in villas. More on villas and hotels: best hotels and villas in Bali.

Can I Order Flowers for a Restaurant?

The scenario: you are abroad and the bouquet should be waiting at the table when your partner arrives for dinner. Provide:

  • the restaurant's name and, if there are several, the address;
  • the name the reservation is under;
  • the date and time of the booking;
  • the recipient's name (if different from the reservation name);
  • when to hand over: before the guests arrive — placed on the table; at dessert — brought to the table.

The restaurant must be able to accept an outside delivery: most do without question, but we notify the hostess in advance so the bouquet does not sit at the bar. For a restaurant choose a compact bouquet — a large arrangement gets in the way of dinner.

Can I Send Flowers to a Yacht?

Yes — it is one of the scenarios we handle separately. A yacht changes its mooring, so more details are needed than for a hotel:

  • the marina and, if known, the berth;
  • the yacht's name;
  • charter details — dates, broker or captain;
  • boarding or departure time — the bouquet must be on board before it;
  • a contact on board — the captain or stewardess who will receive the flowers and place them in the saloon;
  • preferred delivery time — 1–2 hours before the guests arrive.

Where we deliver to yachts: the overview on flowers to a yacht; by destination — Mykonos: villas, yachts and a surprise, yachts and villas of Hvar, flowers to a yacht in Miami.

How Are the Flowers Prepared?

In most cases the bouquet is made by a florist in the recipient's city — on the delivery day, not the day before. That brings five practical advantages: the flowers are fresher; they don't spend a day in a box on a plane; delivery is faster — hours rather than days; the composition reflects what is actually available on the local market; and, most importantly, a local courier knows how to get into a particular hotel, villa or marina.

Can I Pay for Flowers in Another Country?

Yes. Payment is made online via a link — any bank card, Apple/Google Pay, crypto or bank transfer. A few practical points:

  • currency: the price is shown in the currency of the delivery city (euros in Spain and Italy, dollars in the UAE, lira in Turkey); when paying with a card in another currency, your bank does the conversion;
  • the card's country and the delivery country do not have to match — it is an ordinary cross-border online payment;
  • if your bank declines the payment (it happens with cards from some countries), there are fallbacks — crypto or a transfer;
  • the receipt and confirmation go to you, not to the recipient.

Can I Order Same-Day Flowers From Another Country?

Sometimes — depending on the destination, order time, florist availability and delivery area. In large cities an order confirmed before noon local time is usually delivered the same day; on islands and in remote areas timings differ. Mind the time zones: "morning" in New York is already evening in Barcelona.

For hotels, yachts, villas and weddings plan ahead: the hotel needs time to place the bouquet in the room before check-in; the yacht — to have the flowers on board before the guests board; the villa — to have someone at home; the wedding — weeks of coordination. We do not promise to-the-minute or round-the-clock delivery.

What Happens After I Place the Order?

Order received → details checked (name, address, date, occasion) → a florist in the recipient's city is assigned → the bouquet is made on the delivery day → you receive a photo of the bouquet before the courier leaves → delivery is arranged (hotel, address, restaurant, yacht) → the recipient receives the flowers → you get a delivery confirmation: who received the bouquet and when.

What if I Don't Know the Recipient's Phone Number?

It depends on the type of delivery. To a hotel you can deliver without a phone — by the guest's name through reception. To a restaurant — by the reservation name. To a yacht — through the captain's or broker's contact. For a villa or apartment the phone is practically mandatory: without it the courier cannot get into a gated property or reach the intercom. The alternative is the number of the property manager, the host or a friend nearby. We won't promise the phone is never needed — but in the hotel scenario it rarely is.

How Far in Advance Should I Order?

  • Same day — depends on the city and the time; realistic for large cities when ordering in the morning.
  • Next day — almost always a choice of bouquets and windows; the most comfortable option.
  • Hotel at check-in — 1–2 days, to coordinate with reception.
  • Yacht — 1–2 days, tied to boarding time.
  • Wedding, large arrangement, unusual flowers — 2–8 weeks.
  • 14 February, 8 March, Christmas, local holidays (Sant Jordi in Barcelona, Semana Santa in Seville) — 2–3 days.

For timings in a specific city see its page — for example Barcelona, Dubai, Seville.

How to Choose Flowers When You Are Not in the Same Country

You cannot walk into the shop and look — so start from the task:

  • roses — a romantic gift that cannot miss;
  • mixed bouquet — universal: birthday, congratulations, "just because";
  • seasonal arrangement — when you want local freshness and trust the florist;
  • premium arrangement — anniversary, proposal, an important date;
  • compact bouquet — for a restaurant: easy to carry home after dinner;
  • large arrangement or basket — for a hotel or villa where the flowers will stand for several days.

If in doubt, send a photo of what you like or simply describe the person: the florist will suggest two or three options with prices. And ask for a photo before delivery — you will see the bouquet before the recipient does.

Example: Ordering Flowers From Another Country

You are in Germany; your partner is staying at a hotel in Barcelona for four nights, and Thursday is her birthday.

  1. Open Barcelona and choose a medium-sized bouquet of roses.
  2. Message us the recipient's name in Latin letters as in the booking.
  3. Give the hotel — the full name.
  4. Add the room number if you know it; if not, skip it.
  5. Choose the date: Thursday, window "on return from the tour, 17:00–19:00".
  6. Write the card: "Happy birthday. Dinner is booked for 21:00 — wear that dress".
  7. Pay via the link with your German bank card — in euros, no conversion.
  8. On Thursday afternoon you get the bouquet photo; in the evening a message: "Handed to the concierge, taken up to the room at 17:40".

Delivery was arranged in Barcelona — you sent nothing from Germany. The same scheme works for Dubai, Mykonos, Phuket or Seville. If you want to stay incognito — how to send flowers anonymously; if you are ordering from Russia — a separate guide on payment.
