What Information Is Needed for International Flower Delivery: A Pre-Order Checklist

To arrange an international flower delivery you usually need the recipient's name, phone number, delivery location, delivery date and your preferred bouquet. If the recipient is staying at a hotel, villa, dining at a restaurant or on a yacht, additional location details may be required. This is not an explanation of how international delivery works (that is here) nor an ordering walkthrough (that is here). It is a checklist: what to have ready so the order actually gets delivered.

Minimum information:

  • recipient's name;
  • destination country and city;
  • delivery address (or hotel / villa / restaurant / marina);
  • recipient's phone number;
  • delivery date;
  • bouquet or flower preference;
  • card message.

Recipient's Full Name

The name is how the bouquet finds its person when the courier does not hand it over directly. Hotel reception checks it against the guest list, villa security against the name on file, an office against its staff list, a restaurant against the reservation. Write the first and last name in Latin letters exactly as in the booking: "Elena Petrova", not "Lena". For hotels this matters most — a name that does not match the reservation is the most common cause of delay.

Recipient's Phone Number

Needed so the courier can get in touch on site: find the entrance, announce arrival, ring the intercom. Give it in international format with the country code (+44, +7, +971). If you don't want to share the number or don't know it, say so: for a hotel or restaurant you can manage without a phone (by name and reservation); for a villa or apartment the number of the property manager, host or a friend nearby will do. We won't promise the phone is never needed — but in the hotel scenario it rarely is.

Delivery Address

It depends on where the recipient is:

Home or apartment — the full address: street, building, floor, flat, entrance, postcode.

Hotel — hotel name, its address (if the name is not unique), the guest's name as in the booking, room number if known.

Villa — exact address, the name of the urbanisation or complex, access information: gate code, name on file with security, a landmark.

Restaurant — restaurant name, the name the reservation is under, reservation time.

Yacht — yacht name, marina or port, berth, a contact for the captain or broker.

City and Country

Writing "Barcelona" is not enough. You need "Barcelona, Spain" plus the exact delivery point. Why: hotels with the same name exist in different cities and even in different districts of one city (chain hotels with similar names), and similarly named restaurants and villas sit on neighbouring streets. The more precise, the fewer clarifying questions on delivery day.

Delivery Date

  • Scheduled delivery — a specific date; the most reliable option.
  • Same-day — possible in some cities when ordering before midday local time, but not everywhere and not always.
  • Next-day — almost always the full choice of bouquets and windows.
  • Occasion date — birthday, anniversary, hotel check-in.

For birthdays, anniversaries, weddings or yacht deliveries, ordering in advance is usually preferable: the hotel needs time to place the bouquet in the room, the yacht to receive it before guests board.

Preferred Delivery Time

An exact minute is usually not guaranteed — delivery is agreed as a window. But timing is often dictated by the scenario, and it is worth naming:

  • hotel check-in — the bouquet should be in the room before arrival;
  • restaurant reservation — flowers with the hostess before the guests arrive;
  • yacht departure — delivery before casting off;
  • birthday surprise — at breakfast or on return from a walk.

What Flowers Do You Want?

You don't need to know the exact name of a bouquet. It is enough to describe:

  • flower type (roses, peonies, orchids, mixed bouquet);
  • colour;
  • size;
  • style (classic, minimalist, lush);
  • occasion;
  • budget.

Occasion

The same person orders completely different arrangements for a birthday, anniversary, proposal, honeymoon, congratulations, apology, wedding or simply a romantic surprise. The occasion sets the format (boxed for a hotel room, compact for a restaurant, large roses for a proposal), the card text and even the delivery time.

Card Message

What should you write? Short beats long.

  • Birthday: "Happy Birthday! I wish you an amazing day."
  • Anniversary: "Happy anniversary. I love you."
  • Proposal: "I can't wait to spend the rest of my life with you."

Add a signature — or "no signature" if it is a surprise.

What if I Don't Know the Recipient's Room Number?

You can usually provide the hotel name and the guest's name even without a room number. Depending on the hotel's procedures, the delivery is coordinated through reception or the concierge: the bouquet is accepted in the guest's name and taken to the room by staff. What if I Don't Know the Exact Address?

The more precise the location details, the easier it is to coordinate delivery.

Do I Need to Provide the Recipient's ID or Passport?

Normally no — basic delivery details are sufficient: name, location, phone, date. Requirements can vary depending on the destination and delivery location (for example, access control at a gated complex or a port), but the recipient's passport details are not required for an ordinary order.

Do I Need to Provide My Own Address?

No. Sender information and delivery information are different things. From you we need only a contact for communication (WhatsApp or e-mail for the confirmation and the photo) and a payment method. You can be in Germany and the recipient in Spain — for international flower delivery that is the normal situation.

  • venue and its address;
  • wedding date;
  • set-up time and ceremony time;
  • number of arrangements;
  • bridal bouquet requirements (style, flowers, size);
  • table arrangements (how many tables, format);
  • colour palette;
  • venue or coordinator contact.

What Happens if Some Information Is Missing?

If you don't know the room number, the exact delivery point or the recipient's local phone number, don't automatically assume the order is impossible. Provide everything you have and explain the situation: "I only know the name and the hotel", "a villa somewhere in Ornos, only a UK phone". In most cases the missing piece is resolved through reception, the property manager, the reservation or your recipient on the day.

Even without the room number, the hotel name and guest information provide a starting point for coordinating the delivery, subject to the hotel's procedures.
